Ethereal Client Policies
FIRST VISIT POLICY
Please arrive 15 minutes prior to your first appointment to allow time for check-in and completion of required intake and consent forms.
All intake forms may be completed in advance through our online system to streamline your visit.
If you arrive without completed paperwork or insufficient time to complete intake, your appointment may be delayed, abbreviated, or rescheduled to maintain the schedule.
LATE ARRIVAL POLICY
Please plan to arrive on time to receive your full scheduled service.
If you arrive late, we will make every effort to accommodate your appointment; however, service time may be shortened or your appointment may be rescheduled to avoid delays for other clients.
Full service charges will still apply, regardless of abbreviated treatment time.
Clients arriving significantly late may be considered a missed appointment and subject to applicable cancellation or no-show fees.
LATE CANCELLATION & MISSED APPOINTMENTs Policy
Appointment times are reserved exclusively for you. We require a minimum of 24 hours’ notice for any cancellations or rescheduling.
Late Cancellations
Appointments canceled with less than 24 hours’ notice are subject to a $100 cancellation fee.
No-Shows
Failure to arrive for a scheduled appointment without notice will result in:
- A $100 no-show fee, or
- Forfeiture of prepaid services, packages, or gift card balances
Credit Card Authorization
A valid credit card is required to secure all appointments. By booking, you authorize Ethereal Aesthetics to charge the card on file for applicable cancellation or no-show fees.
Late Arrivals
Clients arriving late may have their appointment shortened or rescheduled to avoid disruption. Full service charges may still apply.
Repeat Offenses
Repeated late cancellations or missed appointments may result in:
- Required prepayment for future bookings, or
- Restriction or denial of booking privileges
No exceptions will be made outside of the one-time illness courtesy outlined in our policies.
PRICES & PROMOTIONS POLICY
Prices, services, and product offerings are subject to change at any time without notice.
Promotions & Discounts
Special offers, promotions, and discounts:
- May not be combined or stacked unless explicitly stated
- Are valid only within the specified promotional period
- Must be mentioned at the time of purchase and cannot be applied retroactively
When multiple promotions are available, the highest-value discount will be applied at our discretion.
Payments & FINANCIAL POLICY
Ethereal Aesthetics operates as a self-pay practice. We do not bill insurance. Some FSA/HSA cards may be accepted; please verify eligible expenses directly with your provider.
Accepted Payment Methods
We accept:
- Visa®, MasterCard®, American Express®, Discover®
- Apple Pay, Google Pay
- Ethereal Aesthetics gift cards
- Evolus Rewards (for Jeuveau treatments only)
Cash payments must be exact. We do not carry cash on site.
We do not accept checks under any circumstances.
Payment Timing
All services, packages, and products must be paid in full at the time of purchase or service. No exceptions.
Pricing
All prices are subject to change without notice.
Chargebacks, Disputes & Financial Responsibility
By purchasing services or products from Ethereal Aesthetics, you acknowledge and agree to the following:
- All services are elective and performed with informed consent, including discussion of risks, benefits, and expected outcomes
- Payment constitutes agreement that services were rendered as agreed at the time of visit
- Results are not guaranteed, and dissatisfaction alone does not qualify for a refund
Chargebacks & Payment Disputes
Unauthorized chargebacks or payment disputes for services rendered are considered a breach of this agreement.
In the event of a chargeback:
- You remain financially responsible for the full cost of services received
- We reserve the right to pursue collections or legal action, including recovery of fees, time, and associated costs
- You may be restricted from future bookings at Ethereal Aesthetics
GIFT CARD POLICY
All gift cards issued by Ethereal Aesthetics are electronic and subject to the following terms:
Final Sale
All gift card purchases are final sale. Gift cards are non-refundable, non-transferable, and not redeemable for cash.
Expiration
Gift cards must be fully redeemed within 6 months of purchase.
- If issued for a specific service or treatment, the service must be completed on or before the expiration date
- Expired gift cards will not be honored, extended, or reinstated under any circumstances
Redemption & Use
- Gift cards may be applied toward eligible services and retail products only
- Redemption occurs at the time a service is scheduled and reserved
- No-shows or late cancellations will result in deduction of the scheduled service from the gift card balance
Partial Use
Unused balances may be applied toward future purchases until depleted or expired. Any remaining balance after expiration is forfeited.
Non-Eligible Uses
Gift cards:
- May not be used toward gratuity
- May not be applied to memberships, subscription programs, or contracted services
- May not be combined with select promotions, discounted packages, or special event pricing, unless explicitly stated
Security & Issuance
- Gift cards are issued electronically and must be presented at time of redemption
- Ethereal Aesthetics is not responsible for unauthorized use
- We reserve the right to refuse, cancel, or hold any gift card suspected of fraud, tampering, or misuse
Proof of Ownership
Proof of purchase, purchaser name, or recipient verification may be required for redemption.
CLIENT WALLET & Prepaid Policy
All purchases made at Ethereal Aesthetics are subject to the following terms:
- Wallet credits have no cash value and are non-refundable. Credits must be used within 6 months of purchase and may be applied toward services or products. Unused balances expire after this timeframe.
Prepaid Services & Packages
All prepaid services and packages are:- Non-refundable
- Non-transferable
- Valid for 6 months from the date of purchase
Services must be scheduled and completed prior to expiration. Expired services will not be honored or extended.
Retail Products
All product sales are final.- No refunds or returns on retail products
- No refunds or returns on prescription-strength skincare under any circumstances
Botulinum Toxin (Botox, Jeauveau, Letybo, Daxxify, etc.)
All prepaid neurotoxin units must be used within 6 months of purchase. Unused units expire and cannot be refunded, transferred, or credited.General Policy

REFUND POLICY
All purchases at Ethereal Aesthetics are final sale unless otherwise stated.
Services & Packages
All services and prepaid packages are:

- Non-transferable
Once a service has been performed, payment is final, regardless of outcome or satisfaction. Prepaid services and packages are not eligible for refunds under any circumstances.
Retail Products
All retail product sales are final.
No refunds, returns, or exchanges are permitted.
Botulinum Toxin (Botox, Daxxify, etc.)
Results may vary based on individual response. Additional units required for optimal results or touch-ups are not included and will require additional purchase.
Prescription Products
Prescription-strength products are final sale and cannot be returned or exchanged in accordance with federal regulations.
Acknowledgment of Policy
By proceeding with any purchase or treatment, you acknowledge and agree to this no-refund policy in full.
SCHEDULING POLICY
All appointments are scheduled through our online booking system.
Appointment Booking
A valid credit card is required to secure all appointments at the time of booking. Your card will remain on file in accordance with our cancellation and no-show policies.
Authorization
By booking an appointment, you authorize Ethereal Aesthetics to charge the card on file for applicable fees, including late cancellations, no-shows, and any outstanding balances in accordance with these policies.
Reservation of Time
Appointment times are reserved exclusively for you. By scheduling, you agree to honor your appointment time and all related policies.

Health Conditions & Treatment Eligibility Policy
To ensure safe and effective care, clients are responsible for disclosing all relevant health information prior to treatment.
Medical Disclosure
Please notify your provider of any medical conditions, medications, allergies, or recent procedures that may impact your treatment. Failure to disclose may result in modification or refusal of service.
Illness
If you are experiencing symptoms of illness, please reschedule your appointment. For the safety of all clients and staff, we may require rescheduling if you arrive unwell.
Cold Sores (Herpes Simplex Virus)
If you are prone to cold sores, you must notify your provider prior to scheduling treatments involving the face or lips. Preventative (prophylactic) medication may be required.
Sunburns & Skin Integrity
If you have an active sunburn, irritation, or compromised skin in the treatment area, your appointment must be rescheduled until fully healed.
Medical Clearance
For certain conditions or treatments, medical clearance from your physician may be required prior to proceeding.
Treatment eligibility is determined at the sole discretion of the provider.
Illness, Skin Conditions & Treatment Readiness Policy
To ensure safe and effective treatment, clients must arrive in appropriate condition for their scheduled service.
Illness & Contagious Conditions
If you are experiencing symptoms of illness (fever, cough, flu-like symptoms, or other contagious conditions), please reschedule your appointment. For the safety of all clients and staff, we may require rescheduling if you arrive unwell.
Cold Sores (Herpes Simplex Virus)
If you are prone to cold sores, you must notify your provider at the time of scheduling for any treatments involving the face or lips. Preventative (prophylactic) medication may be required prior to treatment.
Sunburns & Skin Irritation
If you have an active or healing sunburn, irritation, or compromised skin in the treatment area, your appointment may need to be rescheduled. Please notify us in advance if this applies to you.
Late Cancellation Exception Policy
We understand that illness and unexpected conditions can arise.
- A one-time courtesy waiver of the late cancellation fee may be granted once per calendar year for illness or qualifying medical-related situations
- After this one-time exception, all standard cancellation policies apply
- Repeated same-day cancellations, regardless of reason, may result in fees and/or restrictions on future booking privileges
CELL PHONE POLICY
To ensure a focused, safe, and uninterrupted experience:
- Please complete all calls and texts prior to check-in
- All phones must be placed on silent during appointments
- Phone use during treatment should be limited to urgent matters only
Active phone use may interfere with treatment quality and safety. If interruptions prevent completion of your service, your appointment may be modified or ended, and full charges will still apply.
Phone use is not permitted during treatments unless previously discussed with your provider.
Right to Refuse Service Policy
Ethereal Aesthetics is committed to maintaining a safe, respectful, and professional environment for all clients and staff.
We reserve the right to refuse or discontinue service at any time for behavior that is deemed:
- Inappropriate
- Disruptive
- Aggressive or abusive
- Unsafe or non-compliant with provider recommendations
This includes failure to follow pre- or post-care instructions, or behavior that may compromise treatment outcomes or safety.
Client Rights
Clients have the right to pause or discontinue treatment at any time. However, all services rendered up to that point remain non-refundable, and the client is financially responsible for the treatment provided.
CHILDREN IN CLINIC POLICY
For safety and liability reasons, children are not permitted in treatment rooms.
Clients must arrange childcare prior to their appointment. Children may not be left unattended in the reception area at any time.
If a child accompanies you to your appointment and appropriate supervision is not available, your appointment may be rescheduled and subject to applicable cancellation fees.
To ensure a safe and uninterrupted environment, we are unable to accommodate children in the clinic during appointments.
